Pickleball Park NZ ("we", "us", "our") respects your privacy and is committed to protecting your personal information.  This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you interact with us at our facility, through our coaching, leagues, and events, or via our website and online booking platforms.

Membership & accounts

  • Name, contact details, and other details needed to manage your membership

  • Emergency contact information

  • Membership type, attendance history, court usage

  • Notes relevant to customer service (e.g., accessibility needs if you choose to share)

Bookings, leagues, coaching, & events

  • Court booking details and participation history

  • Skill level or coaching notes relevant to your programme

  • Competition or league results

Café & retail

  • Transaction records

  • Dietary preferences only if you choose to share them

Online enquiries & marketing

  • Information you submit via forms, email, phone, or social media

  • Newsletter preferences and opt-in/opt-out status

Website data

  • Device and usage data such as IP address, browser type, and pages visited

CCTV & on-court video

We use CCTV for safety and security throughout the facility.

In addition, each court has cameras for recording play and enabling instant replay.  These recordings may capture you, your image, your actions on court, and in some cases other identifying features.  We may use these recordings for:

  • safety and security

  • incident investigation

  • operational improvement

  • instant replay and customer experience

  • coaching and performance review (where applicable)

Signage will be displayed to inform you that CCTV and on-court recording are in use.  By entering the facility and using the courts, you acknowledge these systems operate as described in this policy.

3.  How we collect your information

We collect personal information when you:

  • join as a member

  • book courts or coaching

  • enter league, clinics, or events

  • purchase items at our café or pro shop

  • contact us or interact with our website/social channels

  • are present in areas covered by CCTV or on-court cameras

We may also collect information from trusted third parties such as booking, payment, or marketing service providers where needed to deliver our services.

4.  Why we collect your information

We collect and use personal information to:

  • provide and manage access to our facility

  • administer memberships, bookings, coaching, leagues, and events

  • process payments and issue receipts

  • improve our services, customer experience, and facility operations

  • communicate with you about schedules, changes, and relevant updates

  • promote offers or programmes where you have opted in

  • maintain health, safety, and security

  • investigate incidents, complaints, or potential misuse of facilities

  • meet legal and regulatory obligations

  • enable on-court instance replay and option performance/coaching review

5.  Photography, video and media

We may take photographs, audio, and video recordings and Pickleball Park NZ for purposes such as:

  • promoting our facility, programmes, events, coaching, café, and pro shop

  • sharing highlights of leagues, clinics, and tournaments

  • celebrating community participation and achievements

  • internal training and service improvement

This conent may be used across our channels including our website, email newsletters, social media, and other promotional materials.

Consent approach

Where it is reasonable and practicable, we will skeen consent for close-up, individual, and clearly identifiable images/video used for promotional purposes.  For general crowd, ambient, or event-coverage imagery where people are not the main subject, we may rely on appropriate notice and the context of an event within our facility.

Children and young people

For participants under 16, we will seek consent from a parent or legal guardian before using close-up or clearly identifiable images/video for promotional purposes.

Opt-out and withdrawal

If you do not want to be photographed or filmed for promotional use, you can notify our staff or contact us at contact@pickleballpark.co.nz.  We will take reasonable steps to avoid capturing you in close-up promotional content and will honour opt-out requests where practicable.

If you previously consented and later withdraw consent, we will stop using newly created content featuring you and take reasonable steps to remove or de-identify existing content where practicable and within our control.  This may not always be possible for content already distributed or shared by third parties.

Relationship to CCTV and on-court replay

This section relates to promotional and event content.  Our use of CCTV and on-court recording/instant replay is designed separately and may operate regardless of promotional media preferences for safety, security, incident management, operational improvement, and customer experience.

6. Who we share your information with

We may share your personal information with:

  • trusted service providers who support our operations (e.g., booking systems, payment processors, email platforms, IT support)

  • coaches or programme managers where relevant to your participation

  • authorities where required by law

CCTV and on-court video:

We may provide access to relevant footage:

  • to law enforcement or regulators where required or appropriate

  • to insurers or professional advisers for incident management

  • to affected individuals where a valid access request is made and we can do so without unreasonably impacting the privacy of others

We do not sell your personal information.

7.  Overseas storage and processing

Some service providers may store or process data outside New Zealand (for example, cloud hosting or booking platforms).  Where this occurs, we take reasonable steps to ensure your information is protected in a manner consistent with New Zealand privacy requirements.

8.  Cookies and analytics

Our website may use cookies or similar tools to remember preferences, understand how visitors use our site, and improve performance.  You can manager cookies through your browser settings.

9.  Marketing communications

If you opt in, we may send you newsletters and updates about memberships, events, clinics, and café or pro shop offers.  You can unsubscribe at any time using the link in our emails or by contacting us.

10.  Keeping your information safe

We take reasonable steps to protect personal information against loss, misuse, unauthorized access, disclosure, alteration, or destruction.

Access to CCTV and on-court recordings is restricted to authorised staff and trusted service providers where necessary.

11.  How long we keep your information

We retain personal information only for as long as needed for the purpose it was collected, or as required by law.

CCTV and on-court video retention:

  • General CCTV footage:  typically, 21-30 days unless required for an investigation or legal process.

  • On-court replay footage:  typically, 4-7 days unless flagged for a safety incident complaint, operational review, or a coaching/performance purpose where offered.

12.  Your rights:  access and correction

You have the right to request access to, and correction of, the personal information we hold about you.

CCTV and on-court video access:

If you request access to footage that includes other people, me may need to limit, redact, or refuse parts of the footage where required to protect others' privacy.

13.  Privacy breaches

If a privacy breach occurs that has caused or is likely to cause serious harm, we will notify affected individuals and the appropriate authorities as required.

14.  Complaints

If you have concerns about how we handle your personal information, please contact us first.  You may also contact the Office of the Privacy Commissioner.

15.  Changes to this policy

We may update this Privacy Policy from time to time.  The latest version will be available on our website and will show the updated date at the top.
